In legal terms we are data controllers of personal information (“information”), so subject to the EU General Data Protection Regulation (“GDPR”).

For a number of client contracts we are also data processors, using personal information supplied by, and on behalf of, our clients.

Clients

We define ‘clients’ as individuals or employees of a company who begin a project with us, by receiving and accepting a quote.

If you are a client there are a number of types of information we need to store in order to work with you. These cover simple details like name, address and phone number, finance contact and invoicing details, but also cover the information supplied to us for the contract, such as copy, brand assets and photography. In order to do the best job we can for you, we also hold notes of meetings, briefs of your project, and information about your brand and preferences.

It is your responsibility to ensure any content supplied to us has been obtained with the consent of any individuals named and agreement to be used for the purpose of our project.

We will always ensure information we hold is held securely, is only held for as long as is needed, and is obtained under of the following:

After our first project together, we work hard to build a long-term relationship. To make it easier to work together again we reserve the right to keep their information on file for up to three years from the date of completion of the last project, or the last contact between us.

We also include as clients any individuals who express an interest in our services and request a quote or proposal from us. Even if you choose not to continue with the proposal, we reserve the right to store this in line with the processes above to facilitate future contact.

Referrals/new business contacts

Often somebody makes a referral to us or contacts us directly to ask about the possibility of using our services.

In order to process a referral we need to take information, usually just names, postal addresses, email addresses and phone numbers of the people who may be interested in working with us.

We never approach anybody unless we believe there is an interest in using our services and on initial contact we ask whether the party is interested to hear from us again. If the answer is no we will delete the data and not be in contact again.

If they would like to hear from us again in the future, we will note their consent and a suggested next contact date. We will review these lists every 6-months and remove details of anyone who we have not had contact with.

Data access and deletion

You have the right to request access to your information and to know how we process it; to ask for your information to be corrected if it’s inaccurate or completed if incomplete; to ask us to erase your personal information (subject to any contractual agreement for us to retain it); to request that we restrict the processing of your information; to receive from us the information which we hold about you in a reasonable format and to object to us processing your information.

You can do any of these things free of charge and we will try wherever possible to concede to your request.

There may however be times when holding the information is necessary to fulfil our contract or a legal obligation. In this case we would of course only retain that information which was necessary.
